  • Customer and supplier details (name, contact info, VAT number, address)
  • Vehicle and job-related information (registration, VIN, engine number, job descriptions, expense slips, licence disks)
  • Invoices, quotes, job cards, and accounting records

2. Customer & Supplier Data

All customer and supplier information is stored securely in our private workshop management system and is used only for:

  • Providing quotes, invoices, and service reports
  • Processing payments and maintaining accurate accounting records
  • Communicating about jobs, repairs, and business matters

We never sell, rent, or share your data with third parties for marketing purposes.

3. Use of Artificial Intelligence

We use secure OpenAI models (GPT-4o and GPT-4o-mini) only inside our private admin dashboard for the following tasks:

  • Generating business performance reports
  • Extracting data from expense slips
  • Reading South African vehicle licence disks
  • Assisting with professional job reports and blog content

4. How We Protect Your Information

We follow all necessary POPIA protocols and implement the following safeguards:

  • Sanitization: Sensitive data (VINs, long numbers, emails) is automatically masked before any AI processing
  • Local OCR first: Images are processed locally before any AI is involved
  • Temporary files: All temporary files are deleted immediately after processing
  • Encrypted transmission: All form submissions and API calls use HTTPS
  • Access control: AI features are only accessible in our secure admin area
  • Logging & monitoring: Every AI call is logged and can be reviewed
  • No training: Your data is never used to train any AI models

5. Your Rights (POPIA)

You have the right to:

  • Access, correct, or delete your personal information
  • Object to certain processing
  • Withdraw consent at any time
